Streamlining access to care and relieving pressure on staff

The promise is twofold. For patients, it means simplifying access to care by reducing waiting times and making the process more seamless. For healthcare facilities, the goal is to reduce the volume of incoming calls, better manage appointment flows, and free secretaries from repetitive tasks.

In practice, AI handles simple requests – such as X-rays or ultrasounds – while more complex examinations, such as MRIs or CT scans, are transferred to a medical secretary. This division of labour ensures speed, security and expertise.

Feedback from the first centres to use the system is encouraging: reduced time spent on the phone, improved patient satisfaction and fewer missed appointments.

Three-step integration

The technical work is already underway. There are three main stages to the interfacing process:

  1. Technical connection with Evolucare Imaging: access to availability, calendar, and cancellation management.
  2. Configuration of business rules for each facility: definition of examinations managed by AI vs. those transferred to secretaries.
  3. Pilot phase in an imaging centre prior to gradual roll-out on a larger scale.

There are many challenges: harmonising processes, managing medical exceptions and supporting teams through change. However, initial feedback shows high patient acceptance and growing support from administrative staff.
 

Towards a more integrated patient journey

In the longer term, Evolucare and Simplify envisage an even more comprehensive patient journey:

  • automatic sending of reminders,
  • guided preparation for examinations,
  • connection to other components of the hospital information system.

Focus on how it works: practical use cases

The Simplify conversational AI integrated into Evolucare Imaging is based on a simple principle: identifying the patient’s needs and providing an immediate response tailored to their situation.

👉 Use case 1: Simple appointment booking
A patient calls to request an ultrasound scan. The AI qualifies their request (type of examination, location, desired time frame), checks availability in the Evolucare Imaging RIS and directly offers them a slot. The appointment is confirmed instantly, without human intervention.

👉 Use case 2: Complex examination
Another patient wants to schedule an MRI. The AI identifies the complexity of the examination and automatically transfers the call to a Simplify medical secretary. The secretary can then ask additional questions (medical history, contraindications, etc.) and ensure safe care.

These scenarios illustrate the complementary nature of AI and human expertise: the chatbot handles routine tasks, while secretaries focus on situations requiring special attention.
