
Optimise user tracking with IMAGO and ANALYTICS
The regional association of the Pupilles de l’Enseignement Public de la Haute-Vienne et de la Dordogne (PEP 87-24) has recently undertaken a major digital transformation by deploying the Evolucare IMAGO user file and Evolucare ANALYTICS solutions in several of its medico-social and social establishments.
This initiative is part of the french ‘ESMS numérique’ programme, which aims to modernise management tools and improve the quality of support for users.
Context and objectives of the project
Founded in 1926, the PEP 87-24 association manages around twenty establishments and services in the French departments of Haute-Vienne and Dordogne, covering areas such as medico-social services for children and adults, early childhood and child protection. With more than 1,300 users and 270 professionals, the association has identified the need to unify and digitise its processes to optimise user follow-up and facilitate the work of multidisciplinary teams.
Pascal Lautrette, IS and purchasing project manager for PEP 87-24, played a central role in the implementation of this major project. He arrived at the end of 2022, and his main task was to roll out a computerised user file for 11 of the association’s establishments and 13 others that have since joined them, most of which were still operating with paper files.
Solution selection process
The process, carried out with DIMEP 87, began with the creation of a ‘cluster’ of establishments, a requirement of the Regional Health Agency (ARS) in order to obtain the necessary funding.
Detailed specifications were drawn up, to which six publishers responded. After an initial selection, four solutions were chosen for in-depth demonstrations. Two of them were tested for a month and a half by the field teams, allowing a practical evaluation of their suitability for the specific needs of the establishments.
At the end of this phase, the Evolucare IMAGO user file and Evolucare Analytics solutions were chosen for their intuitive ergonomics and their complete functional coverage.
Deployment and adoption by users
The solutions were deployed smoothly, meeting deadlines and achieving the objectives set for the core services. Training was pooled within DIMEP 87, promoting a uniform increase in the skills of the teams.
Among the features that were particularly appreciated were:
- Logbook: replacing the paper liaison book, it is used by various professionals such as night watchmen, educators, drivers and members of the management.
- Administrative module: offering comprehensive management of user information.
- Activity schedule: enabling optimal organisation of interventions and follow-ups.
- Medical Monitoring: particularly useful for the Medical-Psycho-Pedagogical Centres (CMPP), facilitating the issuing of prescriptions by doctors directly via IMAGO.
Achieving the objectives of the Ségur du numérique programme has also been a priority, with significant progress including:
- Qualification of National Health Identities (INS): ensuring reliable identification of users.
- Contribution to the Shared Medical File (DMP): promoting better coordination of care.
- Use of the Secure Health Messaging Service (MSSanté): implementation from January 2025, one month before the deadline.
Support and advice for a successful transition
The support provided by Evolucare has been praised for its quality, particularly during the implementation of the DMP and MSSanté certificates. For a successful digital transition, Pascal Lautrette recommends:
- Understanding the processes: particularly those related to MSSanté.
- Drawing up precise specifications: to clearly define needs and expectations.
- Training users in the field: with a teaching approach adapted to different levels of computer skills.
- Testing the solutions: evaluating both functionality and user-friendliness.

Evolucare Analytics, a potential in the process of being explored
Beyond the day-to-day management of user files, the PEP 87-24 teams are beginning to explore the many possibilities offered by Evolucare Analytics. Today, Imago is mainly used to extract simple editions, but the potential of Evolucare Analytics for strategic management is well identified and arouses real interest.
The challenge in the coming months is therefore to support the teams in a gradual increase in skills, helping them to build more complex indicators, adapted to the specific needs of each establishment.
Pascal Lautrette explains:
‘The use of Analytics is still in the ramp-up phase. Users are beginning to realise its full value, particularly for monitoring Ségur target values. We are moving forward step by step, involving the management of establishments in developing dashboards and identifying the most useful indicators for management.’
