With this in mind, APAEIA decided several years ago to rely on Evolucare’s expertise to structure its HR management and the monitoring of the individuals it supports. Laurent Debieu, facility director at APAEIA Avranches, explains how this decision has shaped the day-to-day organization of his teams.
APAEIA, an adult services center seeking a scalable software partner
APAEIA manages an adult care center serving 93 individuals and employing nearly 130 staff members, operating 24 hours a day, 365 days a year. Laurent Debieu, who has headed this center since 2023, began searching in 2019 for a solution capable of supporting the association’s growth and navigating its regulatory complexity, with one key requirement: finding a software partner committed to a long-term partnership with his teams.

In an industry subject to strict regulatory requirements (compensatory rest periods, on-call duties, work stoppages, night shifts), the reliability of schedules is directly tied to compliance with labor laws and the quality of care provided. APAEIA was looking for a tool capable of securing these processes without extending team training or increasing the number of software programs—a decisive factor after meeting with about ten software vendors.
Imago HR-Planning: a solution designed to evolve with the needs on the ground
In addition to service user records, APAEIA also relies on Imago RH-Planning to organize the management of its teams. Service continuity, contractual constraints, and schedules that need constant adjustment: the solution was designed to adapt to the practical realities of the medical-social sector, rather than imposing a rigid framework on the organizations that use it. Laurent Debieu confirms this point as he discusses two key aspects of the tool’s day-to-day use.
An interface designed for quick and easy use
APAEIA selected Imago RH-Planning in 2019, before integrating the Service User File in 2020. The deciding factor: an interface that was considered immediately intuitive. “This was the only software that really seemed simple to us. Even today, someone new to the organization picks it up very quickly,” says Laurent Debieu.
This ease of learning reduces the time spent on training and makes it easier to integrate new employees as soon as they arrive.
Compliant and Automated HR Management
The software natively incorporates the rules of the French Collective Bargaining Agreement 66: calculation of compensatory time off, management of on-call duties, and accounting for absences without the employee losing the benefit of their scheduled on-call shifts. “It ensures the reliability of schedules. Everyone is up to date, and it makes the work of the teams that create the schedules easier, providing valuable day-to-day visibility,” explains the director. This automation reduces the risk of human error, which is particularly common in the manual calculation of rest periods and recovery time.
HR and Service User Record Interoperability That Saves Time
The integration between Imago RH-Planning and the DU eliminates the need to re-enter employee data and allows for direct cross-referencing of the work schedule with the activity schedule of the people receiving care. This way, a staff member can see at a glance, right from their phone, whether they need to drive a particular resident to an activity—a tangible reduction in daily mental workload. This seamless flow of information between the two modules illustrates Evolucare’s integrated approach, where HR data and care data work together to support the same organization.
Manage substitutions with just a few clicks
Another operational benefit: the substitute search feature. “You click on ‘substitutes,’ find an available person, and the information is sent immediately,” explains Laurent Debieu. Uncovered time slots are identified in real time, which makes it possible to prioritize experienced staff over the first available substitute—an organizational choice that has a direct impact on the quality of care provided to those in our care.
A tool that evolves in response to customer requests
APAEIA cites several improvements achieved over the years thanks to the Evolucare teams’ willingness to listen: the creation of employee and service user portals, and the integration of HR scheduling with activity scheduling. “The software has truly evolved over the past six years. Our feedback is generally taken into account,” emphasizes the director. This dynamic of continuous improvement, built on feedback from the field, is in line with Evolucare’s product development philosophy.

In the “Service User File” module, the ability of clients and their loved ones to access the care log has led to changes in the teams’ documentation practices, which are now more factual. The software also includes a medication interaction check (using the Vidal database), ensuring the safety of prescriptions and limiting the risks associated with polypharmacy, which is common when caring for people with disabilities. Beyond the medical aspect, the Service User File plays a relational role: by giving families access to the activity schedule and assessments, it creates a space for communication between the facility, the person receiving care, and their loved ones, strengthening mutual trust without replacing human dialogue.
Tangible benefits in terms of administrative burden and the quality of support
For APAEIA, the benefits are evident on several levels: reduced time spent on HR administrative tasks, better anticipation of staffing needs, enhanced compliance with labor laws, and easier access to annual statistical data (such as regulatory reports required by ANAP). These time savings directly translate into greater availability for supervisory teams, which benefits the day-to-day support provided to the individuals in their care. “We’re really happy with it. And we know this isn’t the end—there will always be pleasant surprises with this software,” concludes Laurent Debieu.
