
A migration driven by the need to modernise the HIS
Against a backdrop of changing regulatory requirements and healthcare practices, healthcare organisations must adapt their information systems to better organise their operations and streamline patient pathways. This project forms part of a wider initiative aimed at simplifying an application environment that has become complex and at providing a single tool capable of centralising administrative and medical information. The aim is to improve coordination between teams and ensure a more reliable flow of information.
A fragmented information system prior to migration
Prior to the migration, the information system was based on several separate solutions, with data exchanged via files. This approach required regular manual processing and checks, which made it difficult to track information.
This structure limited the ability to obtain a consolidated view of the patient journey and to share information seamlessly.
Choosing WebHospital to standardise processes
The decision to migrate to WebHospital was driven by the aim of integrating the information system. The organisation wanted a single environment capable of meeting both administrative and medical needs.
The solution’s web-based architecture and user-friendliness were key factors in this choice, particularly in terms of helping healthcare professionals get to grips with the system.
This choice is part of a wider effort to adapt tools to day-to-day practices and simplify their use.
A structured project with dedicated support
The migration was planned with the aim of going live at the start of the calendar year, requiring rigorous management and precise organisation of the various stages.
The project was managed through close internal coordination with the Evolucare teams. Support was organised around a dedicated project manager and regular progress meetings.
Limited data recovery to rebuild a consistent database
As part of the migration process, the organisation chose to limit data migration to essential administrative details, such as patient identities and movements. Medical data, prescriptions and referrals were not migrated.
This approach is part of a drive to rebuild the data architecture in line with the organisation’s developments, rather than simply replicating an existing history.
Juliette Liquier explains:
The organisation has changed significantly in recent years, both in terms of its activities and its structure. We therefore considered whether it was appropriate to continue using data that no longer necessarily reflected the way we currently operate. We decided to start afresh on a basis tailored to our current practices.
This decision involved the medical teams re-entering the information at the start of the process, supported by training initiatives to facilitate the transition.
Changes observed in patient care practices and follow-up
After several months of use, the teams report that staff are gradually getting to grips with WebHospital. The web-based interface and user-friendly design make it easy to get started, particularly for new staff.
Among the developments observed, the introduction of a patient diary allows staff to view patients’ activities and attendance throughout the day.
Philippe Chatelais explains:
We needed a tool that would enable us to track patients’ daily activities in practical terms. Now, we have the insight we need to help teams organise themselves more effectively and share information more seamlessly.
Centralising data also makes it possible to consider using it in management tools, with a view to gradually expanding its applications.
