This consolidated view makes it easier for teams to create a coherent surgical schedule that is tailored to on-the-ground realities. During surgery, OpRoom also provides real-time monitoring of the various stages of the surgical process, giving professionals constant visibility into operating room activity. Deployed for several years in numerous healthcare facilities, the solution is now a recognized and proven component of the SAVE product line.

Toward Smarter, More Adaptable Programming

Evolucare is currently exploring several approaches to achieve this goal: the use of metaheuristic algorithms, the use of digital twins to simulate different organizational scenarios, and the development of new artificial intelligence capabilities capable of proposing optimized schedules based on the constraints and objectives defined by the facility.

A concrete project carried out in collaboration with the European Hospital of Marseille and the University of Technology of Troyes

This innovative initiative led, in particular, to a collaboration between the European Hospital of Marseille—a long-standing user of OpRoom—and the University of Technology of Troyes.

The work carried out has led to the development of an optimization engine based on a metaheuristic approach. The goal is to automatically generate multiple scheduling scenarios that incorporate the priorities defined by the hospital: reducing the number of rooms used, minimizing staff travel, improving logistical organization, and better accounting for the resources needed for procedures.

In practice, the block coordinator has several scheduling proposals at their disposal that they can compare in a matter of moments. Each scenario highlights different organizational trade-offs and helps inform the decision based on the desired objectives. The tool does not replace professional expertise; rather, it provides additional decision support to facilitate analysis and accelerate the development of the operating schedule.

As François Potevin points out:

“The goal is not to make decisions on behalf of the teams. The OR manager retains full control over scheduling at all times and remains free to accept, adapt, or modify the proposals generated by the tool.”

Benefits Already Visible

Although the work is still ongoing, initial feedback highlights several concrete benefits for facilities and teams. Operating room managers have a valuable tool to quickly analyze different scheduling scenarios, which helps reduce the time spent on trade-offs and ensures that decisions are sound.

At the institutional level, these approaches also open up new opportunities for optimization by promoting better use of available resources, whether they be rooms, staff, or equipment. Beyond organizational gains, the goal is to enable institutions to strengthen their capacity to provide care while maintaining a high level of quality and safety in care.

OpRoom Logistics: Ensuring the Safety of Medical Supplies, from the Pharmacy to the Operating Room

In addition, the OpRoom Logistics module extends optimization beyond just operating room scheduling: it manages the flow of equipment needed for procedures, from the pharmacy through the supply rooms to the operating room. The goal is simple: to ensure that the required sterilized supplies are available in the right place at the right time, thereby reducing the risk of procedure cancellations and the mental burden associated with tracking them. Logistics interfaces with pharmacy management software, supply room management systems, and the entire Hospital Information System to ensure complete continuity of information, from procurement all the way to the operating room.

A solution that continues to evolve alongside its customers

For Evolucare, OpRoom and the OpRoom Logistics module are not static solutions but constantly evolving tools, co-developed with the facilities that use them on a daily basis. “Our vision and mission are to continue innovating to provide them with more tools to make their lives easier, ensure the security of logistics flows in the operating room, and optimize operating room scheduling and management,” summarizes François Potevin. This momentum is driven by on-the-ground partnerships with institutions such as the European Hospital of Marseille, as well as by academic research, exemplified by the collaboration with the University of Technology of Troyes.
